Thinking of making hanged to my booking agreement, need advice

Hey pro mers once again I need advice.

I've been booking a couple of parties and have even preformed at one recently!

While things have been going great on the performing end, not so great on the booking end.

I'm afraid I've lost a client due to being unavailable.

The story is simple: they booked me for the weekend, but then rescheduled due to rain for the next weekend. I told them that weekend I had another party and I could do theirs afterwards. I didn't have a response back until earlier this week. They rescheduled again for a day that I was not available for at all.

This client already paid the non refundable deposit. I'm thinking of emailing them again to see if there's something we can work out, especially since I already made a custom necklace for them.

As for my booking agreement there's nothing in there about rescheduling. Just cancellations. Rescheduling on the weekends is difficult for me since I work another job and getting a sub to cover for me is difficult. My husband thinks I should have a surcharge for any rescheduling son a weekend. Would this be a good practice?

What do you do for rescheduling clients? And if you're trying to reschedule a client and your busy every date and time they suggest?

I just say we will make every effort to reschedule based on our availability but it must be confirmed with us first. We swim in the rain, unless it is lightning and thundering out. so if they choose to reschedule due to rain it's sort of on them, not me. I have only had to eschedule once. lol in 8 years. If they would like to reserve a rain date, it's an additional fee. neve rhad a problem since putting that one in

You're the one who gets to do the rescheduling, not them.

I had no problem performing in the rain. That's also in the contract that it would have to be something major like a typhoon for me to cancel or reschedule on my end.

So your saying that if a client wants to reserve two dates, one regular one, one rain date, it's an additional fee? It makes sense, not something I thought of before though. I may go ahead and put something similar in the contract along with the weekend rescheduling surcharge. Thanks Raina!

I didn't think of that. It would've been better if I told them my next available days and times instead of them blindly picking one and hoping I was available. Thanks Pearlie!

I think that's the way to go on both counts! I dont guarantee a rain date unless they pay an extra fee. Then I will keep both days open.

I would agree, when it comes to rescheduling THEY canceled on YOU. Therefore you are the one who gets to say when you can reschedule. It's not your fault they picked days you were unavailable. They are assuming you have 100% availability.
I would recommend adding in a rescheduling/cancellation policy to your booking agreement. And when cancellations occur, you are the one that gets to reschedule.

Also yes, having a second date as a "rain date" reserved for an additional fee is a fantastic idea!

Interesting, guys! In fact, I’ve seen agreements come across my table that are less than one page in length, in plain English, and still legally binding. How?

Friend, in such situations I like to read various informative articles on the topic that I need to understand. Yesterday I came across this article about what to look out for in lodgers agreement template. I realized that this was what I needed. There are specialists who competently explained in the article what I need to do and how.
